WWC Connect: What you need to know

WWC Connect is live. Here's what you need to do.

Since 19 October 2026, every Victorian organisation engaging workers or volunteers in child-related work must connect them to the Social Services Regulator (SSR) through WWC Connect (via Service Victoria) and keep that record current.

Oho can handle itfor you, automatically.

‍

What is required

The SSR sums it up in four words: Check, Connect, Record, Maintain.

  1. Check - verify every person's WWC number before they start. Sighting their card isn't enough.
  2. Connect - connect the employee or volunteer to your organisation through WWC Connect within 7 days for workers and within 21 days for volunteers.
  3. Record - keep evidence of your verification plus each person's details for 7 years after they leave.
  4. Maintain - update WWC Connect within 7 days (employees) or 21 days (volunteers) whenever someone stops work or changes their details. Workers can't update their own details, the obligation is yours.

For each person, WWC Connect needs their name, WWCC or VIT number, residential address, personal email and phone number.

Right now the legal requirement to connect applies to anyone engaged on or after 19 October 2026. The SSR strongly encourages you to connect your existing workforce too, as it’s the only way to be notified if their clearance status changes – and if an existing worker leaves or changes their details, that update is mandatory.

The penalties are real. There are offences for engaging a person without a WWC clearance in child-related work, failing to provide the required information, and failing to keep relevant records.

Ongoing requirement

Keeping WWC Connect current with changes to your workforce is a permanent workload. Every start, exit and change of details requires an update to the WWC Connect portal within the required timelines.

How Oho keeps WWC Connect up to date for you

Oho's automated WWC Connect solution connects your Victorian WWC Check and VIT holders to your organisation's WWC Connect record, then updates it as people start, stop or change their details, inside the required timeframes for employees and volunteers. Compliance can live in one place, not across a spreadsheet, an inbox and a government portal.

Oho is a continuous worker suitability platform that verifies and monitors Working with Children Checks, teacher registrations, NDIS worker screening checks, AHPRA, Vevo and more. Now it keeps WWC Connect records current too.

How it works:

  1. Verify continuously. Add your workers to Oho and every Victorian WWCC will be verified every 7 days against the register to surface any status changes.
  2. Set up your Service Victoria business profile for WWC Connect. Find out more here.
  3. Complete your worker details in Oho. WWC Connect needs additional data fields including residential address, personal email and phone number alongside name and WWC/VIT number.
  4. Oho takes it from there, automatically connecting your workforce to your business profile and managing updates as people start and stop or details change.

Make sure you have the appropriate consents in place to share workers' and volunteers' personal information for WWC Connect purposes.
